As we prepare to welcome the Year of the Wood Snake on January 29th, this year is predicted to bring transformation, growth, and prosperity—with just a hint of intrigue (or dare I say, a touch of deceit?). Popular for its adaptability and strategic mindset, the Snake symbolizes opportunity while encouraging us to navigate change with care and foresight—a perfect metaphor for the shifting real estate landscape.
This timing feels especially significant as the Bank of Canada’s next interest rate announcement also falls on Lunar New Year. The decision could set the tone for the months ahead, impacting everything from mortgage rates to housing demand across Ottawa. Will it create new opportunities for buyers and sellers? Or will it encourage a more cautious approach to investments? Only time will tell, but one thing is certain: change is in the air.

Moving to a new city like Ottawa can feel overwhelming, especially when you need to find your first apartment to rent. If you're a newcomer, it's important to understand the documentation landlords require to secure a rental unit. These requirements are not meant to make the process more challenging - they are designed to ensure fairness, transparency, and trust between landlords and tenants.
Documents Landlords Require
Employment Letter
Why it's needed: This letter confirms your current employment, providing proof that you have a stable job and income to cover rent. For landlords, it's a way to ensure tenants can meet their monthly obligations.
What to provide: A simple letter from your employer stating your position, employment status (full-time or part-time), and annual salary or hourly rate.
Three Recent Paystubs
Why it's needed: Paystubs provide additional verification of your income consistency. While the employment letter shows your role, paystubs give a clearer picture of your take-home earnings.
What to provide: Copies of your last three paystubs, which can often be downloaded from your employer's payroll portal.
Credit Report from Equifax or TransUnion
Why it's needed: A credit report gives landlords an overview of your financial reliability by showing your credit history, including how consistently you pay bills and manage debt. It helps landlords assess the risk of late or missed payments.
What to provide: You can request your credit report for free from Equifax or TransUnion, two of Canada's most trusted credit agencies. Newcomers without a Canadian credit history can provide alternative documentation (see guarantor section below).
Photo ID
Why it's needed: Landlords require photo identification to verify your identity and ensure all documentation provided matches the applicant. This step helps protect against fraud and builds trust.
What to provide: A government-issued ID, such as a passport, driver's licence, or PR card.
For Newcomers: Why a Guarantor May Be Needed
If you're new to Canada and don't yet have an established credit history or proof of local employment, landlords may request a guarantor to co-sign your lease.
What is a guarantor?
A guarantor is someone (typically a family member or friend) who guarantees your rent will be paid if, for any reason, you are unable to make payments. This adds security for the landlord.
Why do guarantors need the same documents?
Guarantors essentially take on financial responsibility for the lease, so landlords need to verify their employment, income, creditworthiness, and identity, just as they would with a primary tenant.
Important Note: No Credit Card Payments
In Ottawa, landlords typically do not accept credit card payments for rent. Rent is usually paid by e-transfer, cheque, or direct deposit, which ensures the funds are transferred securely.
